Executive Personal Assistant

Fern Park Campus | Full-Time | Lead Pastor

Overview:

The Executive & Personal Assistant (EA/PA) will be a key asset to the Lead Pastors by anticipating needs at an exceptionally high level, allowing them to develop vision and strategy for all aspects of ministry at Journey Church. This role blends professional administrative support with select personal assistance to ensure both ministry and personal matters are handled with excellence, confidentiality, and efficiency.


The most important responsibility of the EA/PA is to ensure that administrative and personal tasks are completed with a high level of organization, discretion, accuracy, and positivity in a timely manner, allowing the Lead Pastors to focus on their leadership, vision, and strategy.

Primary Responsibilities:

  • Support for the Lead Pastors:

    • Facilitate appointments, meetings, and correspondence with staff, church members, and external contacts.

    • Meet weekly with the Lead Pastors to review and plan the upcoming schedule and priorities.

    • Manage email communication, ensuring responses within 24 business hours.

    • Act as a liaison on behalf of the Lead Pastors for both internal and external communications.

    • Submit CMN Field Team invoices monthly.

    • Coordinate travel, speaking engagements, and event logistics for the Lead Pastors.

    • Maintain the Lead Pastors' calendar, meetings, conferences, and retreats.

    • Assist in project management, event coordination, and special initiatives.

    • Support Overseers, Trustees, and Staff as needed.

    • Take minutes for meetings when requested.

    • Manage purchases, subscriptions, and reimbursements, ensuring proper submission to Finance/Divvy.

    • Oversee guest speaker arrangements and related expenses.

    • Ensure the Lead Pastors’ greenroom and office are stocked with necessary supplies and refreshments.

    • Assist on service and event days by arriving before and leaving after the Lead Pastors are at church, providing support, and being readily available for any immediate needs.

  • Personal Responsibilities:

    • Schedule and manage personal appointments, including medical, financial, and household-related engagements.

    • Assist with family or household-related coordination as needed.

    • Handle personal errands, including but not limited to mail, returns, dry cleaning, and shopping.

    • Oversee personal travel arrangements for the Lead Pastors and their family.

    • Keep the Lead Pastors informed of personal or family prayer requests or needs among staff and leaders.
